Organization of examinations starts with enrollment and renewal of the enrollments. After the completion of enrollment and renewal of the enrollment, information such as the program in which the student is enrolled, the courses s/he will be responsible for the exams, the exam centers where s/he will take the exams, and whether the student will graduate or not when the program has finished can be learned from the bureaus.
Every year, Anadolu University Computer Research and Application Center (AUCRAC) determines the scope of the question booklets in terms of courses, and the sequence of the questions according to courses, and then sends them to the Test Research Unit as a booklet. The Test Research Unit asks the subject area specialists who are working there to write questions or take questions from subject area experts working in other faculties. Then the questions are processed in magnetic environment and they become ready for checking.
The Test Research Unit has been equipped with test bank software and the most developed computers. Each question asked in an examination is assessed according to the students’ answers to the question. In addition, parameters such as the difficulty level of each question are recorded into the test bank. While the Test Research Unit prepares questions, Test Design and Assessment Unit in the Computer Research and Application Center places the students in classes on the basis of sessions using the information about the schools and classes sent to it. The whole process is checked by the computers.
After these processes, various statistical transcriptions of the program are prepared. These statistics show information such as the number of booklets to be printed for each booklet type, the number of booklets each package will include, the number of books per class, and it also shows how to organize the exam papers. This statistical and organizational data includes information about labels, lists, official reports, and test papers for the exam and ensures proper functioning of the process.
The examination papers are printed and classified in the Computer Research and Application Center. The lists of the personnel who will be involved in the examination procedure are sent to the coordination centers in provinces and published on the Internet.
Exam papers of each exam class are gathered and packed together according to the statistics obtained and placed into boxes. Meanwhile, the university administration assigns the courier and the university representatives. This information is transferred to the Computer Research and Application Center in magnetic environment.
As soon as the exam organizations have been completed in the Computer Research and Application Center, examination entrance cards are prepared and posted to students. This information is transferred to the machines in the bureaus of Open Education Faculty in magnetic environment. Bureaus of Open Education Faculty store information about all Open Education Faculty students. A student who lost his/her examination entrance card or who did not receive it for any reason can receive it to the last minute. The bureaus give a new card which is valid for the exam to students who lost their examination entrance card. The examination entrance cards are published on the Internet as soon as they are posted to students, but students must use the cards sent to their postal address or the cards they receive from the offices.
